for acting as personal and confidential Chief of Staff to
high-level management. Works effectively with company personnel at
all levels of the organization to gather information, execute tasks
and implement all leader requested initiatives. Maintains knowledge
of corporate activities to assist in policy, procedure, and
administrative matters. Performs Chief of Staff responsibilities
professionally and efficiently within the time allotted.Job
DescriptionCore Responsibilities
- Screens calls, visitors, letters; answers routine questions and
furnishes information.
- Ensures executive has appropriate information to help
prioritize meetings, events, and appearances/engagements to make
the most efficient use of his/her time.
- Coordinates and schedules internal meetings and presentations;
gathers and prepares necessary materials and/or equipment.
- Includes creation of PPT presentations, collection of relevant
details from cross-functional teams and the organization of that
information.
- Ability to successfully drive presentations on executive's
behalf and/or present details to large audience as needed.
- Assures the planning and coordination of the executive's
calendar of events, schedules appointments and prepares detailed
itineraries complete with travel accommodations etc.
- Assures the maintenance of the travel and expense account and
records, including form preparation and figure reconciliation.
- Accompanies executive as needed to approved events to ensure
he/she arrives on time to locations requested. Takes notes at each
event for follow up actions to be taken.
- Assists communication team by providing necessary updates from
events for dissemination to the full team.
- Works cross-functionally with all teams in support of the
executive. Assists with all tasks, initiatives, projects that
directly impact the executive and/or his/her team.
- Displays a strong knowledge of desktop tools such as the
Microsoft Suite of Office products and electronic mail
systems.
- Regular, consistent, and punctual attendance. Must be able to
work nights and weekends, variable schedule(s) and overtime as
necessary.
